Who we are

What we collect

  • What you tell us. The stay you describe, on the site or on the call: destination, dates, party size and any requirements.
  • Contact details. Your phone number, name and email, so a booking can be made and confirmed.
  • Call audio and transcripts, where you have been told at the start of the call that it is recorded.
  • Your number, so we recognise you next time. If you have called before, we keep your phone number with your name and the places you asked about, so we can greet you and skip questions you have already answered. Tell our assistant to forget you and it stops immediately.
  • Basic site analytics. Pages viewed and rough location from your IP address.

Card details

We do not take card numbers by voice and our assistant never hears one. Where a card is needed to hold a room, you enter it on your phone keypad and the digits go straight to our payment processor. Spotbo, Inc. does not receive, store or log the card number, and it does not appear in any recording or transcript. We keep only the last four digits and the card brand, so the booking can be identified.

Why we are allowed to hold it

To make and manage the booking you asked for, to meet our record-keeping obligations, and — for analytics and quality review — because we have a legitimate interest in a service that works. You can object to that last one at any time and it will stop.

Who else sees it

The property you are booking, and the supplier through which the booking is made, receive what they need to hold the room: your name, dates, party size and relevant requirements. Our telephony, speech and payment providers process data on our instructions under contract. We do not sell personal data and we do not share it for advertising.

How long we keep it

  • Booking records: seven years, for tax and dispute purposes.
  • Call recordings and transcripts: 90 days, then deleted.
  • Site analytics: 14 months.

Your rights

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, or ask us to stop using it. Email privacy@callstay.com and we will respond within 30 days. If you are in California, the EU or the UK, you have additional rights under your local law and we will honour them; we do not charge for this and we will not treat you differently for asking.

Recorded calls

Calls are recorded for quality and for accuracy of the booking. You are told at the start of every call, before anything is recorded. If you would rather not be recorded, say so and we will continue without it. You are also told at the start of every call that you are speaking to an AI assistant, and you can ask for a person at any point.

Being recognised when you call back

If you have booked or enquired with us before, our assistant will know your name and greet you with it. That is the phone number you are calling from, matched against what you told us last time — nothing more. Say “don’t remember me” and we erase your name and history on the spot and stop recognising the number; we keep the number itself only so we know not to greet it. To have that last record removed as well, email privacy@callstay.com.

Changes

If this policy changes materially we will say so on this page and change the date at the top.
